No-Show Policy
Effective December 1, 2025
At Heart of the Valley Pediatrics, we value your time and are committed to providing the best possible care for your child. Missed appointments without proper notice prevent other patients from accessing timely care and disrupt our schedule. A “No Show” is defined as any appointment that is not cancelled with at least 24 hours’ notice or when a patient does not arrive for their scheduled visit.
Beginning December 1, 2025, a $25 fee will be charged for each No-Show appointment. This fee is not covered by insurance and must be paid by the responsible party. After three No Shows, the patient will be dismissed from the practice. A dismissal letter will be issued, and families will be given resources to transfer care to another provider.
Appointments must be cancelled by calling our office during business hours. Messages left after hours will be considered received on the next business day. While we understand that emergencies and unforeseen circumstances may arise, exceptions to this policy may only be granted at the discretion of the provider or office manager.

Wellness Visit Coverage Policy
What happens if my child is sick at a well-visit?
If you are here for your annual or wellness visit and choose to discuss certain non-routine concerns, your visit may be coded to reflect this, which could result in a copayment. This follows insurance guidelines for annual wellness visit services.Examples of non-routine concerns include pain, anxiety, depression, insomnia, weight changes, and other medical issues outside of preventive care.Please know it is absolutely okay to bring up these concerns during your wellness visit, as it may save you from needing to schedule a separate appointment. We simply want you to be aware that addressing additional concerns may lead to a copay, depending on your insurance coverage.
